BKInk Bookkeeping (“BKInk,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains what information we collect through our website at bkinkbookkeeping.ca, why we collect it, how we use and protect it, and the choices you have. It is written to align with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
By using our website or submitting information through our forms, you agree to the practices described in this policy. If you do not agree, please do not submit personal information through the site.
1. Who We Are
BKInk Bookkeeping is a remote bookkeeping service serving small and medium-sized businesses across Ontario, Canada. We operate as a service-area business and do not maintain a public walk-in office. You can reach us at:

2. The Information We Collect
We only collect personal information that you choose to provide, plus limited technical information that is standard for operating a website. We do not require you to create an account, and we do not ask for sensitive financial details (such as bank or credit card numbers) through this website.
a) Information you give us through our forms. Depending on which form you use, this may include your name, email address, phone number, business name, the type of help you are looking for, and any message or details you choose to include.
b) Consultation requests (Contact page). When you schedule a consultation through our contact page, we collect your name and email address (required), your requested appointment time, and optionally your phone number and any notes you provide (such as your business name and what you need help with). Consultation requests are stored on our website by the Simply Schedule Appointments plugin.
c) Lead-magnet / resource registrations. When you request one of our free guides or checklists (for example, the HST Filing Checklist, the Cleanup Checklist for QuickBooks Online, or the Payroll Deductions Guide), we collect the email address you provide so we can deliver the resource and, where you have opted in, occasional related bookkeeping tips.
d) Email and other correspondence. If you email or call us, we keep the contents of that correspondence and your contact details so we can respond and maintain a record of our communications.
e) Technical and usage information. Like most websites, our hosting platform automatically records limited technical information when you visit, such as your browser type, device type, and general interactions with the site. This information is used to keep the site secure and functioning and is not used to personally identify you.
We do not knowingly collect personal information from children, and our services are directed to businesses, not minors.
3. How We Use Your Information
We use the information we collect only for the purposes for which you provided it, including to:
- respond to your consultation request and arrange a time to talk;
- understand your needs and prepare a quote or recommendation;
- deliver the free guide or checklist you requested;
- send you bookkeeping tips, updates, or resources where you have asked to receive them (you can unsubscribe at any time);
- reply to your emails, calls, and other enquiries;
- provide, manage, and improve our bookkeeping services if you become a client;
- keep our website secure, prevent spam and abuse, and meet our legal and record-keeping obligations.
We do not sell, rent, or trade your personal information, and we do not use it for advertising or share it with advertisers.
4. Our Legal Basis and Your Consent
Under PIPEDA, we collect, use, and disclose personal information with your knowledge and consent. You provide consent when you voluntarily submit a form, email us, or call us. For certain communications, such as marketing or newsletter emails, we rely on your express opt-in, and you may withdraw that consent at any time (see Section 8). Withdrawing consent for marketing does not affect our ability to respond to a request you have already made.
5. Cookies and Similar Technologies
Currently in use. Our website is hosted on WordPress.com and uses a small number of essential and functional cookies that are necessary for the site and its forms to work and to protect against spam. We do not use cookies for advertising. The only non-essential cookies on this site are the analytics cookies described below.
Analytics (currently in use). We use two analytics services to understand, in aggregate, how visitors use the site so we can improve it: Google Analytics 4 (Google LLC) and Microsoft Clarity (Microsoft Corporation). Google Analytics 4 sets non-essential, first-party analytics cookies; Google states that Google Analytics 4 does not log or store IP addresses. Microsoft Clarity sets non-essential analytics cookies (for example _clck and _clsk, and Microsoft cookies such as MUID) and produces heatmaps and session replays that show how pages are used, such as where visitors click and scroll. Clarity’s masking is enabled in its default “Balanced” mode, which masks text entered into form fields and drop-down menus, and other content Microsoft classifies as sensitive (such as numbers and email addresses), before it is sent to Microsoft. We do not use either service to personally identify you or for advertising. When you first visit the site, we present a cookie/consent notice so you can accept or decline these non-essential analytics cookies. If you decline, Google Analytics is disabled and Microsoft Clarity stops recording and is not loaded on later pages. You can change your choice at any time by clearing your cookies for this site, which shows the notice again.
Most browsers let you block or delete cookies through their settings. Blocking essential cookies may affect how parts of the site function.
6. How Your Information Is Stored and Shared
We keep your information confidential and share it only with the third-party service providers that help us operate our website and business. These providers process information on our behalf and are expected to safeguard it. They include:
- WordPress.com / Automattic Inc. — hosts our website and processes and stores the consultation requests made on our contact page and the submissions from our resource forms (via Jetpack Forms). Automattic also provides Akismet, which screens form submissions for spam.
- Google LLC (Gmail / Google services and Google Analytics) — we receive form notifications and email correspondence at our Gmail business inbox, where related messages are stored; and we use Google Analytics 4 to collect aggregate, non-identifying website-usage statistics (Google states that Google Analytics 4 does not log or store IP addresses).
- Microsoft Corporation (Microsoft Clarity) — provides heatmaps and session-replay analytics of website usage so we can improve the site. Masking is enabled so that text entered into forms and other content Microsoft classifies as sensitive is masked before it is sent to Microsoft, and we do not use the data for advertising. - Email service provider (planned). We may connect an email delivery service in the future to automatically send requested guides and any updates you have opted into. If we do, your email address will be processed by that provider solely to deliver those messages, and this policy will be updated to name it.
- Intuit Inc. (QuickBooks Online). If you become a client, your bookkeeping is performed in QuickBooks Online. This applies to client engagements rather than general website visitors, and any client data handling is governed by our engagement with you and Intuit’s own terms and privacy practices.
Some of these providers may store or process information on servers located outside Canada, including in the United States. Where that is the case, your information may be subject to the laws of those jurisdictions. We take reasonable steps to work with reputable providers that maintain appropriate safeguards.
We may also disclose personal information if required to do so by law, or to protect our rights, safety, or property.
If our website links to third-party sites (for example, a social media profile such as LinkedIn, or the Canada Revenue Agency), those sites have their own privacy policies, and we are not responsible for their practices.
7. How Long We Keep Your Information (Retention)
We keep personal information only as long as reasonably necessary for the purposes described in this policy or as required by law:
- Consultation and contact enquiries are kept while we follow up and for a reasonable period afterward so we can maintain a record of our communications and respond to any related questions.
- Resource / lead-magnet emails are kept until you unsubscribe or ask us to delete them, or until they are no longer needed for the purpose collected.
- Client records are kept for the duration of the engagement and for the period required to meet professional, tax, and legal record-keeping obligations.
When information is no longer needed, we take reasonable steps to securely delete or de-identify it.
8. Your Rights and Choices
Under PIPEDA, you have the right to:
- Access the personal information we hold about you and ask how it has been used and shared;
- Correct information that is inaccurate or incomplete;
- Withdraw consent or unsubscribe from marketing communications at any time (every marketing email includes a one-click unsubscribe link, or you can email us);
- Request deletion of your personal information where we are not required to retain it;
- Ask questions or raise a concern about how we handle your information.
To exercise any of these rights, contact us using the details in Section 11. We will respond within a reasonable time and may need to verify your identity before acting on a request. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).
9. How We Protect Your Information
We use reasonable administrative, technical, and physical safeguards to protect your information against loss, theft, and unauthorized access, use, or disclosure. These include using reputable hosting and email providers, limiting access to your information to those who need it, and protecting accounts with appropriate security measures. No method of transmission or storage over the internet is completely secure, however, so we cannot guarantee absolute security.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we do, we will revise the “Last updated” date at the top of this page. Significant changes — such as introducing analytics or a new service provider — will be reflected here. We encourage you to review this page periodically.
